The Income Statement

The income statement β€” also called the profit and loss statement β€” shows how much you earned and spent over a period of time. It answers one core question: is the business profitable?

The structure is simple: revenue minus cost of goods sold gives gross profit, then subtract operating expenses to arrive at net income. Watching the trend from month to month matters more than any single number.

The Balance Sheet

The balance sheet is a snapshot of what your business owns and owes at a specific moment. It is built on a simple equation: assets equal liabilities plus owner's equity.

Assets include cash, accounts receivable, inventory, and equipment. Liabilities include bills you owe and loans. Equity is what remains for the owner. A healthy balance sheet shows enough assets to comfortably cover your obligations.

The Cash Flow Statement

The cash flow statement shows how cash actually moved through the business during a period. It is divided into operating, investing, and financing activities.

This report is essential because it reconciles the gap between profit and cash. A business can show a profit while still running low on cash, and the cash flow statement reveals exactly why.

Reading Statements Together

No single statement tells the whole story. Together, the three reports answer the questions that matter most: Are we profitable? Are we solvent? And where is the cash actually going?

Compare statements against the same period last year and against your budget. Variances are where the useful questions live β€” why is a particular expense up, or a revenue line down?
